Global administration

The global administration area is only available to persons with the role Global Admin.

The global administration area provides a large number of general settings. Users and groups can be maintained, external authentication providers can be configured and data can be managed.

Users

Clicking on the following icon, which is marked with the text 'User administration', opens the user administration.

User objects are users in the system. Depending on the assigned role or function within the Business unit, users can perform various activities and actions.

Properties

PropertyExplanation
EmailUsed for identification, authentication and notifications.
PasswordThe user's password.
First nameThe user's first name.
Last nameThe user's last name.
SupervisorThe user's supervisor. This is also used to control (approval) processes.

If an external authentication provider has been used, further user properties are available depending on the provider, e.g. street, city, telephone etc.

If an external authentication provider has been configured, changes in linqi can be overwritten by the synchronization.

Additional user values

In some cases, you may need additional user values such as department, telephone number, location, etc.. For this purpose, linqi offers the option of independently creating additional user values in addition to those mentioned above.
To create such user values, you can select the navigation point Additional user values within the user administration.
In the panel that then opens, you can create a new value in the Active user values area using the Create user value button. You have the following options for each user value:

  • Value name:
    Enter the name of the value here, e.g. Department. This value name is also subsequently offered in the process design as a formatting option for all user placeholders.
    You can also change the name of a value at any time without causing problems when executing processes.
  • (Deactivate):
    You can use this button to deactivate a user value. A deactivated user value is then no longer available in the process design and can no longer be changed via the user administration.
    However, existing placeholders can still be cancelled. This function is therefore very helpful if you want to slowly remove a user value but have planned a transition phase in which the existing placeholders are replaced.
  • (Delete):
    You can use this button to permanently delete a user value. This means that the user value is no longer available anywhere, all user values saved for this value are deleted and existing placeholders are no longer resolved. You should therefore ensure that this value is no longer used anywhere before you delete the value.

If at least one inactive user value exists, you will find the inactive user values under the list of active user values. There you can also reactivate a value using the (Activate) button.

These user values can also be filled by external authentication providers, such as Microsoft Entra ID.

Roles

Users can be assigned two roles in the global administration area.

Business unit Admin

The 'Business unit Admin' role is responsible for creating and managing business units.

Global Admin

The 'Global Admin' role is responsible for managing the instance.

Licenses

Licenses are assigned automatically if available. Licenses can be selected and deselected on user objects.

Import user

The following columns must be present in the CSV file:

  • E-mail
  • First name
  • Last name
  • Password

If you are updating an entry, you can leave the Password column empty so as not to change the user's password.

Optionally, you can also enter the following columns:

  • Supervisor

The supervisor's e-mail address must be entered as the supervisor. If this column is defined and the value in the CSV file is empty, the superior will be removed.

Groups

You can navigate to the group administration via the left navigation within linqi. Click on the following icon, which is marked with the text 'Group administration', to open the group administration.

Groups are used to authorize several people at the same time, e.g. departments or organizational units. This allows you to control the process or the display of objects without assigning individual authorizations. Groups can be selected in person selection fields. When using external authentication providers such as Active Directory, the groups that have been synchronized are displayed in the group management.

Feature settings

Here you can activate or deactivate features. For example, you can activate scripting functions.

Theming

The linqi instance can be individualized globally with colors and a logo. The logo cannot be larger than 64 kilobytes with an ideal size of 32x32 pixels.
