Overview

In many cases, a process has to access data from another IT system or data has to be written to a third-party system.
This could be, for example, a document that is uploaded to a document management system at the end of a process, or a process that is started when an e-mail arrives in a mailbox.

For this purpose, linqi offers the option of integrating third-party systems into processes via actions. On the following pages you will find details of the various systems that can be connected.

In general, the following applies: linqi requires access data to be able to connect third-party systems. You can create and edit these in the connection management ( button in the navigation bar).

Access data is stored in highly encrypted form and sensitive data can never be accessed again.

In addition, third-party systems can always be switched on or off via features. If you cannot find a third-party system connection in linqi, you or your administrator must first activate the corresponding feature.

Authorization

If you create a new connection, all persons with editing rights within the business unit can then use this connection to design processes. In this way, for example, a connection can be made available centrally without the persons knowing a password and can then be worked with.

If you want to create a connection that is only to be used by a certain group of people, you must enter the people or groups who are allowed to use the connection in the Process Designer in the Authorized persons field for the various connections. Only these people will then see the connection and can use it accordingly. However, the person who created the connection always has access to the connection.

The authorized persons do not restrict access to the connection during execution. This means that if a person can execute a process, all actions that use a connection will also work. This ensures that processes do not run into an error for some people.

Error handling

Many actions for third-party systems allow you to activate an error output. If you activate this option, the action is given an additional starting point. You can use this to run the process differently if an error occurs when accessing the third-party system. This allows you to implement error handling and, for example, wait a moment and try the action again or notify a central point.
