Process Tools
The toolbar of the process view provides additional functions for working with a process, depending on your permissions. The following tools open as a panel next to the process view.
Change permissions
With the Change permissions button you define who may edit the current process step. The panel opens with the heading Change permissions; if the process has several process steps, select the process step at the top.
The panel contains two people pickers:
- Users with write permissions Select the users who should be granted write permissions for this process step. Up to ten users can be selected.
- Users with access restriction Select the users whose access to this process step should be revoked.
If you select a person in both pickers, linqi shows a message that conflicting permissions exist and the overlap should be removed. In this case, saving is blocked.
With Save you apply the changes for the selected process step; with Cancel you close the panel without changes.
Import values
With the Import values button you copy the values of an existing form into the current form. The button is only active if you may edit the current form. In the Import values panel you select in the following steps:
- Process number Enter the process number of the process from which you want to import values. You can also enter only a part of the number; linqi searches based on the input.
- Select process Select the process in the list. Only processes whose form matches the current form are listed. Via the Open process icon you open the selected process in a new tab.
- Select process step Select the process step whose values are to be imported. Several steps may appear if a form has been run through several times in the selected process.
- Overwrite values
This toggle determines how already filled-in fields are handled:
- If the toggle is enabled, already filled-in controls are overwritten with the imported value.
- If the toggle is not enabled, only controls that have not been filled in yet are populated.
With Apply you take over the values into the current form – they are not saved yet. With Cancel you close the panel without copying values.
If you are not allowed to edit the current form, linqi shows the message You do not have editing rights on the current form. and the selection is disabled.
Export as PDF
With the Export as PDF button you create a PDF output of the process. The panel contains the following selections:
- Document Template Select which document template is used to generate the document. In addition to the templates configured for your client, the option Process steps is available, which generates the export without a template.
- Process steps to be exported
With the Process steps option you select which steps are to be exported:
- All All process steps are exported.
- Custom You select the steps to be exported via checkboxes.
When exporting, linqi checks whether there are unsaved changes. If so, linqi shows a message that unsaved changes are not shown in the PDF and asks whether the process should be saved before the export. After the processing starts, the message The export download will start in a few seconds. informs you that the download is triggered.
AI summary
With the Open AI summary button you display an AI-generated summary of the process. The AI summary panel lists the summary points of the process.
While the summary is still being generated, linqi shows that it is currently being generated and that this may take a few minutes.
These summaries are created by an AI and may contain errors.
Correct form values
With the Correct form values button you can adapt the values of an already handled process step at a later time. The button is only available for handled steps. linqi points this out with a notice banner, stating that you are currently correcting the entered form values, that changes are logged, and that the existing process history remains unaffected.
Analyze process
With the Analyze process button you open the corresponding process definition in the Process designer and can display the analysis of the running process there.
