KPI
Via the KPI element, you can display key figures (e.g., quantity, total, or average) from your processes on the dashboard. This allows you to show, for example, the number of open orders, the total of order values, or the average absences at a glance and to highlight them by color using display rules.
Configuration
Within the configuration, the following options are available:
- Title:
Enter the display name of the element here. This will be displayed to users so they know which control it is.
- Insert key figure:
Use the Insert key figure button to add a new key figure to the element, which you can then configure. Multiple key figures can be displayed within one element. You can adjust the order of the key figures by dragging and dropping. You can delete a key figure via the trash icon. - Name:
The name that is displayed next to the value of the key figure on the dashboard (required field). The name should clarify which value is displayed so that users can quickly understand what the value represents. - Selected processes:
Select the processes whose data should be used for the key figure here. - Aggregation function:
A key figure always shows an aggregated value from the selected processes. With this selection, you determine how the values are aggregated:- Quantity:
Counts the number of processes that meet the filter conditions. - Average:
Calculates the average of the configured values. - Total:
Calculates the total of the configured values (e.g., the total of order values). - Minimum:
Displays the smallest of the configured values. - Maximum:
Displays the largest of the configured values.
- Quantity:
- Value:
For each selected process, you define which value is used for the aggregation (required field, except for the aggregation function Quantity). Here you can select a form value, process value or a variable from the respective process. If you select multiple control values, the most recent value is always used. - Filter:
With filters, you can restrict the processes that are used for the key figure. Use the Add filter button to insert new filters. Multiple filters are combined with and, meaning a process must meet all filter conditions to be included in the key figure. The following configuration options are available per filter:- Value per process:
For each selected process, select the value that is used as the filter value here (e.g., a form value of the process). - Select operator:
Select the desired comparison operator of the filter (contains, does not contain, is equal, not equal, starts with, ends with). - Comparative value:
Enter the comparative value here. You can type a fixed value or insert a placeholder. If you want to allow multiple values, you can separate them with |.
- Value per process:
- Display rules:
With display rules, you can highlight the key figure by color if the displayed key figure value meets a specific condition. Use the Add display rule button to insert new rules. You can adjust the order by dragging and dropping. The first rule that applies is always used. The following configuration options are available per rule:- Comparison operator:
Determines whether the comparative value must be smaller or larger than the key figure value for the rule to apply (Less than or More than). - Comparative value:
This value is compared to the key figure value based on the specified comparison operator. - Color value:
Select the color (red, orange, green, blue, or purple) that is applied when the comparison defined above applies.
- Comparison operator:
- Target value:
You can specify an optional target value here. On the dashboard, the key figure value is displayed as a progress indicator towards the target value. In this way, you can specify a target budget or similar, for example. - Icon:
You can optionally select an icon that is displayed next to the key figure. This way, you can further facilitate the overview for the users. - Link:
You can specify an optional link here. If this is specified, the key figure becomes clickable and users are redirected to the specified link when they click on the key figure. For example, this allows you to redirect to a dashboard with detailed data.
Display on the dashboard
For each configured key figure, a tile is displayed that shows the name, the aggregated value, and, optionally, the icon. In addition, the following display rules apply:
- Progress indicator:
If a target value is specified, the key figure value is displayed as a progress towards the target value in a ring indicator. When hovering over it with the mouse, you can see in a tooltip what percentage of the target value has been reached. - Display rules:
If the key figure value meets the condition of a display rule, the tile is displayed in the configured color. - Link:
If a link is configured, the key figure can be opened by clicking on it. - Number display:
Large numbers are displayed in abbreviated form (e.g., 1.5k for values over 1,000 or 2.3m for values over 1,000,000).
