Lookup List
The Lookup List actions in linqi allow you to read from and write to Lookup Lists from your processes. You can query, create, update, or delete entries in a Lookup List. This makes it possible to use a Lookup List like a small database and to keep the data synchronized with your processes automatically.
To use the Lookup List actions, you must activate the corresponding feature. The Lookup List itself must be created in Master Data beforehand.
Application Cases
The Lookup List actions are suitable whenever a process should maintain or read data in a Lookup List:
- Keeping customer data in sync: When a process changes customer data, for example a new address or a new contact person, it can update the corresponding entry in the customer Lookup List automatically. This keeps the list up to date without manual maintenance.
- Location data: You can store, for example, locations or warehouses with related data in a Lookup List. A process can query this data and, for example, display it in forms or e-mails, or create new locations as needed.
- Using it as a database: Lookup Lists are a good way to manage process-related data, such as budgets or assignments, in linqi and to read or change this data from processes.
Shared Configuration
Many of the Lookup List actions have a basically similar configuration. The general configurations are therefore explained here first, to avoid repeating them in every action.
General Configuration
In all actions, you must first specify the Lookup List the action is working on:
- Lookup List: Select the Lookup List to work with here. This list must have been created in Master Data beforehand.
Filter Configuration
The actions for updating and deleting (as well as for querying) allow you to define a filter. This lets you determine which entries are loaded, updated, or deleted. You can define a filter using the following settings:

Multiple entries allowed: This option is only available for the update and delete actions. By default, linqi allows a maximum of one entry to be processed at a time. This is intended to prevent you from accidentally overwriting or deleting a large number of entries in the list. If you plan to process more than one entry at a time, you must activate this option.

Combine filters: Choose here whether an entry must fulfill all filters (And) or only one of the filters (Or) to be affected by the action.

Filter mapping: This is where you define the actual filters. For each filter, you select the column to filter on, determine the operator, and then specify the comparison value. You can either enter a fixed value or use a placeholder. Only the column types Text, Number, and Date are available for filtering. The operators available depend on the column type:
- Text: is equal to, is not equal to, contains, does not contain, starts with, ends with, contains data, does not contain data
- Number / Date: is equal to, is not equal to, greater than, greater than or equal to, less than, less than or equal to, contains data, does not contain data
For example, if you select Customer Name as the column, starts with as the operator, and linqi as the value, all entries are found whose customer name starts with linqi.
Column Mapping
When you want to write values into a Lookup List, for example to create or update an entry, you can use the column mapping to define which values are written into which column:
- Column: Select the column to be filled with a value here. Each column can only be selected once.
- Value: This configuration option lets you specify which value is written into the column. You can either enter a fixed value or use a placeholder. The available placeholder type depends on the data type of the column, e.g. Text, Number, Date, Person, or File.
Actions
Get Entry from Lookup List
Use this action to query entries from a Lookup List. The following configuration options are available:
- General Configuration: The general configuration (see above) defines the Lookup List from which you want to query entries.
- Filter Configuration: Use the filter configuration (see above) to define which entries you want to query. If no filter is defined, all entries of the Lookup List are loaded.
- Columns to be loaded: Select which columns should be loaded. At least one column is required. These columns are then available as placeholders.
- Sort by column: Optionally, you can select a column to sort the results by, and use the sort direction to determine whether the results are sorted in ascending or descending order.
This action provides the following placeholders:
- Each loaded column: Each loaded column can be selected as a placeholder. Outside of loops, the values of all entries are separated with a comma.
- Entry count: This lets you reference the number of entries found. You can also use it, for example, in conditions to check whether an entry exists.
- Entries: Inside a loop, for example a table in a form, you can use this to reference the entries, which are then iterated through.
Create Entry in Lookup List
Use this action to create a new entry in a Lookup List. The following configuration options are available:
- General Configuration: The general configuration (see above) defines the Lookup List into which the entry is created.
- Column Mapping: Use the column mapping (see above) to define which values the new entry should receive.
Update Entry in Lookup List
Use this action to update one or more entries in a Lookup List. The following configuration options are available:
- General Configuration: The general configuration (see above) defines the Lookup List in which entries are updated.
- Filter Configuration: Use the filter configuration (see above) to define which entries are updated.
- Column Mapping: Use the column mapping (see above) to define which new values are written into the columns. Only the columns you specify here are updated.
If the filter matches more than one entry and the Multiple entries allowed option is not activated, the action terminates with an error.
Delete Entry from Lookup List
Use this action to delete one or more entries from a Lookup List. The following configuration options are available:
- General Configuration: The general configuration (see above) defines the Lookup List from which entries are deleted.
- Filter Configuration: Use the filter configuration (see above) to define which entries are deleted.
If the filter matches more than one entry and the Multiple entries allowed option is not activated, the action terminates with an error.
