Process flow

Use these actions to control the flow and structure of a process in the process designer.

Process start​

This node indicates the manual start of the process. It has no effect on the execution of the process and serves only as a visual aid in the process designer.

Timed start​

This action is used to configure the start of a process at a specific time. The following configuration options are available:

  • Start for:
    Specify here for which persons the process is to be started. Multiple persons can be selected. One process is started for each selected person. If a group is selected, one process is started for each person in the group.
  • Earliest execution date:
    Specify the date and time from which the process can be executed.
  • Type of execution:
    Specify how often the process is to be started. The following options are available:
    • Hourly
    • Daily
    • Weekly
    • Monthly
  • Repeat every X hours (for Daily: Repeat every X days, for Weekly: Repeat every X weeks):
    Shown for Hourly, Daily and Weekly. Specify here at what interval the process is to be started.
  • Execute on weekdays:
    Shown for Weekly. Select here on which weekdays the process is to be executed. Multiple weekdays can be selected.
  • Execute on months:
    Shown for Monthly. Select here in which months the process is to be executed. Multiple months can be selected.
  • Date source:
    Shown for Monthly. Specify here how the execution day within the month is determined. The following options are available:
    • Fixed days
    • Weekdays
  • days:
    Shown for Monthly with the date source Fixed days. Select here on which days of the month the process is to be executed. Multiple days can be selected.
  • Execute on the ...:
    Shown for Monthly with the date source Weekdays. Specify here which occurrence of the weekday within the month applies. The following options are available:
    • First
    • Second
    • Third
    • Fourth
    • Last
  • ... of the month:
    Shown for Monthly with the date source Weekdays. Select here which weekdays qualify for execution. Multiple weekdays can be selected. Typical use cases are, for example, the regular checking of data values or quarterly driver's license checks.

Condition​

This action is used to create branches in the process. You can define one or more conditions. During process execution, each condition is checked automatically: if a condition is met, the corresponding output port is followed. If no condition is met, the output port Else is followed. If multiple conditions are met, the output port of the first met condition is followed. The following can be specified for each condition:

  • Display name:
    The display name is an aid to improve the overview in the process designer. It is used to label the arrows in the process designer. If no display name is assigned, a consecutive number is used.
  • Select value:
    Specify here which value is to be checked. The type of this value determines the operators that you can select.
  • Select operator:
    Specify here which check is to be performed.
  • Select comparison value:
    Shown if the selected operator requires a comparison value. Here you can specify a text value, a placeholder or an AD group. The available values depend on the operator and the value. Typical use cases are, for example, checking whether a budget is higher than a threshold value, or whether a request was approved or rejected.

Loop start​

With this action, you can run a part of the process once for each entry of a value. All steps between the Loop start and the Loop end are repeated for each entry of the loop value. A Loop start must always be terminated by a Loop end. The following configuration options are available:

  • Loop value:
    Select here the value for which the loop is repeated. This can be, for example, the entries of a table or the entries of the action Query SharePoint item.

This action provides the following placeholders:

  • Values of the entry:
    Each entry value of the loop value can be referenced as a placeholder. This references the value of the current entry of the loop.
  • Number of entries:
    You can reference the total number of entries of the loop value via this.
  • Entry index:
    You can reference the index of the entry currently being processed via this. The index starts at 1.

To reference the values of the current entry of the loop, the placeholder must be referenced via the Loop start node: In the placeholder search, first select the Loop start node and then the desired entry value. This is a common source of errors — the entry values are only available as the current entry of the loop when referenced via the Loop start node.

Loop end​

This action indicates the end of the loop. It has no configuration options. The process continues here as soon as the loop has been run through once for each entry of the loop value.

Waiting​

With this action, a process can be paused at a step for a certain amount of time. The following configuration options are available:

  • Type of waiting time:
    Specifies how the time until which the wait occurs is calculated. The following options are available:
    • Relative waiting time
      The specified time is waited from the current date.
    • Placeholder date
      The date is determined via a date placeholder, e.g. from a form field.
    • Absolute date
      A constant date is specified.
  • Date:
    For Placeholder date, a date placeholder is selected here; for Absolute date, a date is selected. Additionally, a time (hours and minutes, in 5-minute increments) can be specified, which is applied to the date.
  • Number of days / months (for Placeholder date: Added days / months):
    Shown for Relative waiting time (waiting duration from the current date) and for Placeholder date (time to be added additionally). The field requires a valid numerical value; numeric placeholders are allowed. The field also accepts decimal values, e.g. 0.2. With the unit Days, 0.2 days correspond to 4 hours and 48 minutes. With the unit Months, the value is rounded down to whole months.
  • Ignore weekends:
    Shown for Relative waiting time and Placeholder date. If this option is enabled, weekends are ignored when calculating the waiting time: if the calculated time falls on a weekend, the system waits until the next working day instead.
  • Days / Months:
    Shown for Relative waiting time and Placeholder date. Specifies whether the field Number of days / months is interpreted as days or as months. The following options are available:
    • Days
    • Months

Process end​

This node indicates the end of the process. It has no effect on the execution of the process and serves only as a visual aid in the process designer.
